Salary

$4,137.76 monthly (non-negotiable); State employees are paid on the last workday of each month. The successful candidate will be hired at the minimum salary. Benefits include membership in the Florida Retirement System and a generous contribution by the State to health insurance premiums.

Job

The Twelfth Judicial Circuit has an opening for a Court Program Specialist II (Civil and Family Case Manager). The essential function of the position within the organization is to assist judges and magistrates with the timely disposition of cases through case management, case monitoring, and program implementation. The position is responsible for performing administrative and case management functions in circuit and county civil divisions as well as the family division in support of the timely resolution of civil and family cases, while adhering to the time standards established in the rules of general practice and judicial administration. This position is responsible for collecting and reporting on case/program data and maintaining databases as needed. The Civil and Family Case Manager works under the general supervision of a Program Coordinator, developing work methods and sequences.

The Civil and Family Case Manager will be based out of Sarasota, Manatee or Venice. The Civil and Family Case Manager will work independently but must be able to demonstrate flexibility to help meet the needs of the civil and family divisions. Reports to the Case Management Program Coordinator (State of Florida position). Travel to other courthouse locations in the circuit will be required.

Duties and responsibilities 

  • Review case data and reports for case integrity and accuracy; identify discrepancies and report to clerk;
  • Review pending case data and identify cases in need of judicial intervention; determines whether case requires a case management conference or appropriate hearing;
  • Draft correspondence and Orders;
  • Maintain statistics for civil and family division; and creates and maintains records for efficient case management;
  • Perform related case searches and criminal background checks;
  • Schedule and attend hearings;
  • Other duties as assigned.

Knowledge, skills and abilities

  • ·     Effective and concise written and oral communication;
  • knowledge of family and civil court processes and practices; 
  • experience with the State of Florida eFiling Portal is helpful;
  • ability to understand case management limitations and what constitutes the unauthorized practice of law;
  • organizational/time management skills; 
  • ability to manage and organize a complex, high-energy, high-volume environment;
  • ability to meet deadlines;
  • ability to address difficult, emotionally charged situations and issues professionally and tactfully;
  • ability to use sound judgment;
  • ability to collect and analyze data;
  • ability to prioritize and organize workload;
  • maintain confidentiality concerning sensitive issues before the court; 
  • establish and maintain effective working relationships with judiciary court personnel, outside agencies, mental health and legal professionals, unrepresented litigants, community agencies and the general public; and
  • the ability to obtain and maintain NCIC/FCIC certification upon employment (training and certification provided in-house). 

Education

BA/BS from an accredited college or university in public or business administration, criminal justice, psychology, sociology or closely social science related field; and three years of professional, administrative and/or analytical related experience. Paralegal or work-related experience to case management is preferred and may replace the education requirement.  Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.
